Research outputs beyond the PDF: Why they matter, and how to get started

Going beyond the default


While the PDF has become the de facto global standard for publishing articles online, the publishing tools of today offer a whole range of ways to publish content that is more flexible, more engaging, and more user-friendly, as well as better addresses current publishing standards. It’s time to broaden our scope beyond the PDF! 

Compared to PDF, both HTML and EPUB3 are better formats for accessibility—not just in the technical sense of image descriptions and ARIA roles, but also in the broader sense of allowing the user to resize and reflow text or zoom in on images. 

But there are also many other ways to publish both the outcomes of research and the materials that lead to those outcomes, and many compelling reasons to use them. The three we’ll focus on here are making research data and protocols available to other researchers around the world; engaging your users with more varied and interesting offerings; and translating research for non-scientists and non-specialists. 

Publishing data sets: Why, what, and how

The why of making researchers’ data available, in keeping with FAIR data principles, is well recognized: when the data behind the research is findable, accessible, interoperable, and reusable, replication studies can be more easily carried out, and testing the replicability of published results is key to advancing science and improving research integrity. 

The how may be more challenging. “Publish researchers’ data alongside the articles or books based on that data” seems perfectly straightforward—until you start thinking about all the things “data set” might mean. Depending on the research and the discipline in question, the data behind a published article might be anything from a vast database of testing data or geolocation coordinates to computer code, from a linguistic corpus to a collection of audio recorded interviews, archival photographs, or tweets. (We won’t get into collections of cells, core samples, or water samples.) While all are data sets and deserve FAIR data treatment, each brings a different set of technical challenges to the publication process.

Using a feature, like Digital Objects on the Literatum publishing platform, that supports multiple publication formats allows publishers to offer—or even require—researchers to make their data available on the same platform and at the same level of discoverability as the publications based on it. A wide variety of data types—essentially, anything that exists in a digital format—can be hosted alongside an article or book, assigned a Datacite or Crossref DOI, and linked bidirectionally with the publication and any other data sets or research products. Depositing a DOI makes data sets easier to find and to cite, benefiting the researchers on both ends of the data-reuse transaction.

Protocols, notebooks, and more

Just as important for replicability as data sets are the protocols used in collecting and analyzing the data—from survey instruments to lab procedures to focus-group guidelines. Publishing research protocols alongside data and findings further encourages replication studies.

A related use case is that of computational notebooks, which are widely used by researchers in many scientific disciplines to carry out, manage, and share their workflows and data analyses but which most publishers can’t yet accommodate as part of the research output. Wiley and Atypon are part of the Sloan Foundation–funded project Notebooks Now!, led by the American Geophysical Union, aimed at developing a standard model for publishing computational notebooks.

Why is this important? As Shelley Stall et al. write,

Providing notebooks as available and curated research outputs would greatly enhance the transparency and reproducibility of research, integrating into computational workflows. The notebooks allow deeper investigations into studies and display of results because they link data and software together dynamically with what are often final figures and plots. Publishing computational notebooks is just one way that making researchers’ data findable, accessible, interoperable, and reusable helps elevate both integrity and equity across research and publishing.

Access, accessibility, and knowledge translation

Data availability is critical. But publishing “beyond the PDF” isn’t just for data sets!

When we talk about Open Access, or about public access to publicly funded research, we need to consider much more than whether or not a publication is paywalled. It’s important to ask, “Can a member of the public download and read this article?” But we also need to ask, “Will a non-expert reader understand the key findings of this article?” Researchers generally write for other researchers in their field, and the typical editorial process does a good job of facilitating that expert-to-expert conversation—which simply isn’t designed for readers without that specific expertise.

This is where knowledge translation comes into the picture. What alternatives to expert-to-expert academic writing can we provide, in order to make key research findings—for example, from high-quality and up-to-date studies in public health, epidemiology, and occupational safety—both freely available and genuinely useful for non-experts who would benefit from understanding them?

Plain-language summaries, “explainer” blog posts, and static infographics are a great place to start. Translating these into other widely spoken languages takes us further. But why stop there? Publishing platforms like Literatum allow publishers to host audio, video, podcast, and interactive visual content. So consider “explainer” video or podcast interviews where researchers highlight key findings; consider how an interactive graph can help a non-expert understand demographic changes, the spread of a disease, or how languages change over time; consider how an animated map can illustrate economic, weather, or population data across space and time. 

Finally, we need to consider accessibility. Step one, of course, is to make sure that our websites are WCAG compliant. Step two is ensuring that all text content—whether articles, books, blog posts, news updates, or data files—is machine readable, so it can be interpreted by screen readers, and available in HTML or EPUB format (either natively or via a PDF rendering tool such as Atypon’s eReader), so that it’s friendly to those who need large print, reflowable text, and zoomable images. Step three is to work on making non-text content as accessible as possible: well-written descriptions for all non-decorative images, closed captions for all videos, transcripts for audio content … 

All of these elements, too, can usefully have DOIs deposited, to make citing them easier and help direct readers to the version of record.

Make time for metadata!

Whatever you’re publishing, in whatever format, metadata remains key. The challenge comes in determining what metadata are necessary and appropriate for new types of content. To maximize discovery of non-PDF content, it’s important to accurately identify in the metadata what it is (data set? interview? photo archive?), what the format is (.csv? .mp4? .jpeg? .zip?), what it’s about (few things are more frustrating than thinking you’ve discovered a good study of chess and then finding it’s a study of cheese), and all the ways it’s connected to other pieces of content. Metadata should also include information about how and where to access the content, who created it, and what users can and can’t do with it. An additional part of the metadata equation is deciding which elements are supplementary to the article, and which are effectively on the same level.

Finally, depositing a DOI (or other appropriate persistent ID) is important for everything you publish. On a practical level, using and maintaining DOI links makes citation easier, directs readers to the version of record, and ensures that whatever element of their work is cited, authors’ citation stats benefit from the use of their work. On a more symbolic level, depositing DOIs for non-article content signals a commitment to treat these content types as they deserve: as part of the published scholarly record.

Examining Trust and Truth in Scholarly Publishing

In this latest blog, Helen Duriez, from our Professional Development Committee, reflects on how our current webinar series Trust, Truth and Scholarly Publishing webinar series came together.  


Oh, how the world turns. I used to think that Donald Trump running for US president was a fine joke. I used to think there was no way the UK would choose to go it alone when it could be a part of the collective economic might of the European Union. Turns out, the voting public in the US and UK had very different ideas to those of this naïve millennial back in 2016.  

Two years on, it’s become apparent that a large part of the success of these two major political campaigns was their ability to leverage personal belief systems. People are more likely to believe what they read if it aligns with their pre-existing belief system or if it taps into a feeling of existential threat, causing them to disregard evidence to the contrary. Ironically enough, there’s research that backs up this theory, and the concept even has a name – post-truth. You might have heard of it.

Now, what people choose to believe (or not) is tightly interwoven with what we choose to tell them, and how. In scholarly publishing, most of our jobs involve disseminating complex information in one form or another. With research output higher than ever before, there’s a lot of complicated stuff to explain – not just to academics and practitioners, but to the general public as well. Scientists are used to working with ambiguities, although that doesn’t mean they always navigate the rocky terrain of uncertainty safely. And what about lay audiences, who give as much weight to opinions as to facts?

The team at ALPSP felt this topic warranted further exploration, and so a small group of staff and volunteers (I’m one of the latter) have taken it upon ourselves to put together a series of webinars looking at some of the issues and opportunities in scholarly publishing today. Here’s how the series pans out…

Publishing without perishing

Yes, as one of the organisers I may be a little biased, but even knowing what I was about to listen to didn’t stop me from being motivated and left feeling a little awe-inspired as Richard Horton gave us a passionate, powerful reminder of what early journal publishers set out to achieve, and the obligations we still have to society today. Jason Hoyt follows up with some practical thoughts about how publishers can succeed in a post-truth world.

The reproducibility opportunity

In last week's webinar, now available for download too, and highly recommended,  Catriona Fennell, Rachel Tsui and Chris Chambers explored how the concept of reproducible science represents an opportunity, rather than a threat, when it comes to getting to the truth, the whole truth, and nothing but the truth. The traditional journal publishing model doesn’t have much time for replication studies (not original research, don’t ya know) or registered reports (findings, please!), but things are starting to change…

Public engagement with scholarly research

The process of communicating a new piece of scientific research to the world can sometimes feel a little like a game of Chinese whispers. When the description of a complex concept or process is shortened and reworded in order to reach a new audience, it’s meaning can change subtly. I’ve seen more than one twitter spat debating the latest “scientists have found…” health fact, and there are those who have built careers around addressing some of these misrepresentations.

Spotlight on SourceData - shortlisted for the 2017 ALPSP Awards for Innovation in Publishing


Last but not least in our series of blogs on our 2017 Awards Finalists is EMBO – the creators of SourceData. We speak to Project Leader Thomas Lemberger to find out more:

Tell us a bit about your organisation


EMBO is an international organization that promotes scientific excellence in Life Sciences.It has over 1700 members elected from the leading researchers of Europe and beyond. The organization is funded by 29 member states to provide support to scientists through events, networking opportunities, funding and fellowships for young researchers and shaping science policy. EMBO also publishes four journals reporting important discoveries from the global bioscience community: EMBO Journal, EMBO Reports, Molecular Systems Biology and EMBO Molecular Medicine.

What is the project that you submitted for the Awards?


SourceData is a technology platform made up of several tools that extract information about published figures and make scientific data more discoverable.Through EMBO’s work at the intersection of research and publishing we realized there is a disconnect between the way research data is published in scientific papers and the way researchers typically want to interact with it.  Most scientific papers report the results of carefully-designed experiments producing well-structured data. Unfortunately, during the publishing process this data is typically summarised in text and graphs and “flattened down” thus losing a lot of valuable information along the way.   As a result, it can be very difficult for researchers to find answers to relatively simple questions because data is inaccessible.

For example, it is currently very cumbersome for a scientist to find specific experiments where a certain small molecule drug has been tested on a specific cancer cell line or to look at the results of a published experiment and find out whether similar data had been published elsewhere. These are the kinds of scenario where SourceData can help. SourceData goes to the heart of the scientific paper - the data - and extracts its description in a usable format that researchers can access and interrogate. It then goes on to link this data to results from other scientific papers that have been through the same process.

Tell us more about how it works and the team behind it


With SourceData, EMBO has developed a way to represent the structure of experiments. The principle of SourceData is rather simple: we identify the biological objects that are involved in the experiment and then we specify which objects were measured to produce the data and which, if any, were experimentally manipulated by the researchers. Despite its apparent simplicity, this method allows us to build a scientific knowledge graph that turns out to be a very powerful tool for searching and linking papers and their data.

The development of SourceData has been a collaborative process involving the Swiss Institute of Bioinformatics who provided their expertise in developing software platforms in the field of Life Sciences and the curation of data.  After this we worked with Wiley to implement SourceData within a publishing environment. Nature also contributed content to the initiative.

Why do you think it demonstrates publishing innovation?


SourceData transforms the way that researchers can interact with scientific papers by getting to the heart of the paper - the data, and putting it into a highly searchable form. It then takes this a step further by linking this data with relevant results from other scientific papers so that researchers can explore these connections.SourceData can give readers a new level of confidence in finding more of the research that is relevant to their questions. It can give scientists more opportunities to have their publications found and cited and can allow publishers to expose more of their content to interested readers by making it even easier to search and explore.

What are your plans for the future?


Our work to date has involved a lot of manual work so we are now working to automate this process. We are developing artificial intelligence algorithms using deep learning to extract the structure of an experiment from their descriptions in natural language.  Our vision is to provide access to our technology to as many publishers as possible and encourage the widespread adoption of SourceData. In doing so we hope to facilitate access to the data behind more and more journals over time and ultimately accelerate Science in the process.

Not Your Teenager’s Social Network: What Academic Societies Can Learn from Facebook about Making Money—and Making Members Happy



We are delighted to share this blog by Roy Kaufman, Managing Director of New Ventures at the Copyright Clearance Center  which draws some interesting parallels between learned societies and social networks and highlights what we can learn from their example.


image social media networkingSocial networking a la Facebook and Twitter may seem to be a product of the Internet age, but it is actually nothing new. If you think about it, learned societies - which aim to bring together people in a given field or area of professional interest - are actually built on the original idea of a social network, to wit: a network of social interactions and personal relationships, as Webster’s defines it.

Yet today’s academic societies, charged with connecting individuals who share professional interests and providing a forum for communication and collaboration, continuing education, and career opportunities, are facing declines in membership, particularly among people under age 30. Fewer than half (48%) of all millennials belong to a society compared with 83% of baby boomer researchers, according to Wiley’s recent survey of nearly 14,000 research professionals.

Facebook and Twitter (and more researcher-focused sites such as Mendeley) have something to do with that age discrepancy; they are favorites for early-career researchers who want to actively network in both their professional and personal life. With so many online opportunities for making contacts and interacting, societies are tasked with finding new ways to provide meaningful benefits that will attract and retain members, as well as keep their revenues growing.

Perhaps scholarly and professional societies can learn something from Facebook, too. Just as that online social network continues to expand (and gobble up money) by using member data in ever more ingenious ways (linking all those Likes, learning from them, and tailoring content to members accordingly), so societies can use technology to better serve their members and become more relevant and profitable in the process.

From disconnected data to smart data

Fully leveraging data they already have is an often-overlooked way for societies to grow their membership and keep current members engaged enough to renew year after year. Take the example of researchers who submit an article to a society journal. It is a good bet that the article will contain the names and contact information of multiple coauthors. Wouldn’t it make sense if, instead of isolating those names within the editorial system, societies could use them to their advantage, connecting them with other data points throughout the organization?

That process could start at article submission by determining the needs of corresponding authors and co-authors, simply by asking questions like the following:

  • Are the authors already members of the society?
  • If yes, are their memberships up for renewal?
  • If no, will a special offering (such as an APC discount or free author reprints) entice them to join?
  • If they have an .edu address, are they taking advantage of institutional arrangements for payment of open access fees?
  • Are they registered to attend the next society conference?
  • Do they need continuing education credits?
  • Do they even know about these benefits?

Chances are, members and would-be members don’t know all the benefits of membership. In the Wiley survey, 15% of respondents said they’d never been invited to join an academic society; 12% said they didn’t know what offerings were available, and another 12% said that joining had never occurred to them. As the folks at Wiley put it, “This means that 37% of non-members are either waiting to be asked to join, or might be persuaded to join…With so many non-members just waiting to be asked, societies may find they are often pushing at an open door.”

But societies are not yet pushing on that door. One reason is that in many learned societies, different departments, and the data they house, are “siloed,” cut off from one another and not communicating effectively. “When a member interacts with an organization, they’re interacting with education, or a group that does grants,” says Ann Michael, DeltaThink CEO and former president of the Society for Scholarly Publishing, who moderated a recent webinar on society membership by the Copyright Clearance Center. Silos, says Michael, make it difficult for members to see the organization as a whole, which makes it hard for organizations to serve members’ needs effectively.

In the same webinar, Alex Taylor, head of communities and events at the Institution for Engineering and Technology, admitted that for a long time, the IET was “lost in a labyrinth of our own making .…We offer so many different things, [there are] so many different teams and departments…that there’s most definitely a [silo] culture, a lack of joined-up collaborative thinking.”

The key, then, is for members and societies to come together, to increase satisfaction and engagement on one side and revenues on the other. That starts with knowing what members and potential members want and need.  For example, in Wiley’s survey findings, 26% of respondents said their strongest reason for joining a society was to take advantage of opportunities for continuing education. But the continuing education platforms seldom, if ever, talk with the editorial ones.

The bottom line: If the membership, continuing education, and conference departments are not connected with each other or linked up with the editorial department, opportunities for generating new members and retaining existing ones will be missed. Think about the benefits to all involved if these systems talked to one another. In that scenario, it would be easy to notify an individual who recently submitted an article on a particular topic about an upcoming workshop on the same subject. Or, having just published that article, to let the author know that his society membership renewal comes with the benefit of 25 free article reprints.

What all of this requires is a smart network of links among databases that enables societies to target their marketing to specific individuals with personalized messages and offerings, at opportune times (when you already have their attention, for example, at article acceptance or other key points in the editorial workflow). That is the difference between blasting members with renewal notices three days after they’ve renewed and instead telling them something they truly want to know (i.e. that they are due for CME credits). Rather than putting off members and would-be members with more junk mail, suddenly, you are providing them with a higher level of service.

One way to make the data connection easy is with an enterprise content management system that does the sorting and linking of member information automatically. An investment in an ECM system is worth it, because it allows societies to provide a higher level of service.  Knowing what members need and offering it to them when they need it will bring in higher revenues in the form of new and renewing members, who can now avail themselves of services they were previously unaware of. Or, to put it another way, societies will be able to maximize revenue sources already at their disposal, and members will understand the value proposition that comes from joining and engaging with a learned society. Talk about pushing an open door.

Adopt some standards

Besides enterprise content management systems, another crucial step toward connecting data and better serving members is to adopt standards such as ORCID IDs, Ringgold names, IP addresses from Publisher Solutions International, and identifiers from FundRef. Once employed, societies can identify institutional affiliations, funding agencies, geographical locations, and membership status, and then launch relevant messaging.  You might, by ORCID ID, identify an author member as hailing from a particular institution and take it from there, reaching out to let a Harvard-based author know that she’s eligible for an institutional discount on open access charges. Combine these standards with the member data derived from your enterprise content management system, and suddenly, you get to the nirvana of data connection, without having to reinvent the wheel, and without having to bother the author.

Create new businesses to keep members happy

To keep growing, societies also need to consider new sources of revenue. It makes sense that the first thing a membership-driven society should consider when it thinks about growing its bottom line is the needs of its members. For example, the Wiley survey asks members what they value.  Some key services mentioned in the Wiley survey are continuing education (64%), keeping up to date with the latest research (50%) and job openings (32%). Once societies have this information in hand, they should ask: Do I have a business around this? If the answer is no, the next question might be: Should I have a business around this? If learning is a key reason members renew, a society may want to look at whether they have adequate continuing education offerings. If career networking is a top priority, a society might send out alerts when jobs open up in members’ areas of interest. That’s known as data driven messaging, whether a society tells a researcher who has just submitted an article on kidney cancer about an opening in the nephrology department of a major research hospital, or reminds her to register for the upcoming American Society of Nephrology Conference.

Attracting and retaining members - even millennials - is not rocket science, and we can learn from the companies who do it well. It is about figuring out why people join, and asking: Have I done enough here? Because sometimes, by asking relatively simple questions, offering opportunities vis-à-vis the needs of members, and doing some obvious things like adopting standards, it is possible to create the building blocks that raise a society to the next level - and make it go viral.

The Brexit Debate

One of the key topics of conversation this year has, inevitably, been Brexit. Since the results of the UK Referendum on membership of the EU were announced in June, speculation, knee jerk reaction, panic, and uncertainty have been rife. What does it really mean for scholarly communications? Are the worse-case scenarios likely to pass? What are the worse case scenarios and what are the opportunities?

ALPSP, the Publishers Association and The London Book Fair arranged a debate with leading industry figures to find out more. The conversation will continue at the Research & Scholarly Publishing Forum at LBF17 in March.

The debate, introduced by ALPSP CEO Audrey McCulloch and chaired by RELX Group's Richard Mollet featured academic consultant Richard Fisher and Andy Robinson, SVP and Managing Director for Society Services at Wiley.

Currency, taxation and the economy

On a positive note, there are short term currency gains. There is an outside possibility of eliminating VAT on ebooks and digital products and potential to get government departments to support emerging markets and UK research to boost technology market, for example by rebuilding trials sector. However, there is also a risk of the UK becoming a regulatory island. In the short term, the audience were advised to keep an eye on any bump in book sales to check there weren't any inventory blips on a regional basis while the currency is in flux.

Research and development

Scientists for EU has collected examples of academics who refused positions in the UK. There are over 40 examples of researchers being taken off grant applications or made a contributor instead. In institutions, there are 31,000 researchers based in the UK who come from the EU. There is a long term question about how that will impact on the quality and impact of EU research. UK research is a strong contributor to the economy and if damaged could have a long term impact on other sectors. And the European Medicines Agency moving from the UK will have a converse impact on the pharma sector's appetite to launch drugs in the UK. Currently 2% of the world's clinical trials happen in the UK. There is an opportunity to rebuild that, which in turn will bring in pharma investments (GSK has invested £250m in UK since Brexit).

People, influence and perception

There are a number of implications for the publishing industry and related sectors in relation to people. Ten per cent of the UK publishing workforce comes from the EU (compared to 6% in the wider population) and companies will have to consider how to manage that impact.

It was noted that the current Prime Minister, Theresa May, was previously Home Secretary. During her tenure in that role she was very strict on the number of overseas students. It is unlikely this line will change and institutions are watching with concern. The knock on financial effect could be significant with 25,000 students studying in the UK - and 46% of postgraduates coming from the EU - generating income for institutions and local businesses.

How does industry make the case to government without looking like they are moaning about the result? There was a strong reaction post-Brexit from researchers and publishers. We need to respond to the challenges robustly, but on new terms, by putting forward a strong economic case for investment. With three government departments across Education, Culture Media and Sport and Business that influence the world of publishers and researchers it might be tricky to navigate.

There is no doubt that the UK now sits outside debates in EU, for example with open access and open science. Where Britain leads, the world does not necessarily follow so the possibility of isolation is very real. Wiley and ALPSP ran a short poll of their society publishers. in it, 80% of respondents saw the loss of influence in these policy debates, particularly around open science. 

Copyright and data protection

In the long term there is possibility of a move to the older world of a US copyright regime, UK regime and EU regime, leading to potential fragmentation. Google will no doubt be watching with interest, particularly around Fair Use issues. The UK is unique in having access to millions of patient records, and if data protection issues can be navigated carefully, there is real research potential in monitoring patient outcome. We have the potential to become world leaders in fields such as stem cell research.

The future?

What will we be talking about at Frankfurt 2021 in five years? Will it still be a big issue or just one of the things we’re dealing with? It is hard to predict. On the one hand, the British political situation is in such flux it is impossible to predict. We should have a much clearer path in 2021. On the other, it will be one of a number of issues that the industry will face.

The industry should reflect on why they don’t employ, publish for or sell to the 52% of voters. June 23 is without doubt one of the most important post-war dates in British history. While there is a worrying flux at government level that will play out over the next two to three years, politicians need to wake up to the importance of research. The industry needs to encourage the UK government to take research seriously and place it at the heart of the negotiation. A national research strategy should be brought together as quickly as possible to ring fence funding up to 2025.

The Brexit debate at the Frankfurt Book Fair was organised by the Publishers Association and ALPSP with the support of the London Book Fair. The discussions will continue at the Research & Scholarly Publishing Forum to be held at LBF in March 2016.

Elsevier has launched a Brexit resource centre to provide benchmark objective data, useful links and other resources.

Peer Review is Dead! Long live peer review!

The demise of peer review in its traditional form has long been predicted, indeed demanded by some. And yes, we’ve been talking about peer review for a long time – what more is there to say? The reality is that peer review is evolving and tailoring itself for difference communities. How can publishers ensure they have the right model in place, at the right time? Most attention has been focused on the needs of quality controlling the traditional article in the sciences and there has been limited attention paid to managing the needs of a global and technically sophisticated and diverse scholarly environment.

Peer Review is Dead! Long live peer review! was a session at the 2016 ALPSP Conference chaired y Pippa Smart, Editor-in-Chief of Learned Publishing. The panel presented case studies and opinions on how review outside the traditional scientific article is managed, what specific needs humanities and social science publications must address, whether there is a global balance between authorship and reviewing, and how reviewer quality can be assessed (an important factor if reward for their efforts is to be granted).

Shifting Sands: What's affecting your business?

Much has been said about disruption in the publishing industry, with a focus on the changes that digital developments have brought. But there are many other disruptions facing publishers, not least the shifting political landscape throughout the world.

Rober Kiley from the Wellcome Trust outlined their plans for opening up access to the research outputs. It helps to accelerate discovery and its application for health benefit, but also provides great return on investment.  Challenges include tackling infrastructure and changing culture and incentives. There are issues around having the right skills and capacity to do this.

The publisher requirements have come about to simplify the whole process and ensure they get what they pay for. There are still instances where articles have been funded and published as open access, but still behind paywalls on publisher sites.

Their key requirements for deposit are that the final version of peer reviewed articles should be available in XML and PDF and deposited in PMC. Material changes must be made to PMC and include Crossmark where available. The Licence must be made available via CC-BY and the statement must be included in XML and be human and machine readable. The invoice must include the title of the articles and publishers must have a refund policy. They have been in contact with a number of the larger publishers and see trade bodies such as ALPSP as being key to reaching out to other organizations.

Other Wellcome developments include Wellcome Open Research. Researchers will be able to get their research published quickly and it will include all research outputs. It fulfils all their open access requirements and the data is published alongside so the research is reproducible. It is transparent - open, author drive, peer review. Finally, it is easy as the costs are met directly by Wellcome.

Wellcome is also looking at preprints. It reflects the growing interest in this area as they provide researchers with a fast way to disseminate their work, establish priority of their discoveries and obtain feedback. They also offer a more current understanding of an investigator's work. They are working within Wellcome to amend grant application EoG forms so preprints can be cited. They are developing grant reviewers and are working with ASAPbio. They are keen to change the culture by encouraging researchers to publish preprints.

Alex Hardy is a publishing lawyer at Harbottle & Lewis. She covered the legal status of the results and four key areas of IP law, contract law, data protection and copyright law.

What the referendum DIDN'T ask is when and how we should leave the EU as well as what kind of relationship should the UK and EU continue to have.

Article 50 is the legal mechanism by which to serve notice. But it has never been invoked before so it is unknown territory.

The short term impact involves currency fluctuations as well as changes in the trade relationships outlook. We are proceeding with caution with refocussed lobbying and campaigning. Alternative models are being explored including European Economic Area, European Free Trade Area or a more bespoke arrangement.

For intellectual property rights including copyright, departure from the EU would leave national law and international treaties largely as it is. For EU harmonisation, the UK has been heavily involved and very influential. But there is a risk the UK will lose it's influence. For the EU, there's a risk they will lose UK content. It is possible the UK will leave the EU during the EU Digital Single Market. There is still an opportunity to continue to engage, comment and contribute to discussions.

EU trade marks will continue in the short term, but you may need to move to a UK trade mark. It might be worth registering both in short term to minimise risk if you can afford it.

For contracts, consider reviewing the territorial scope, trade and IPR licences. You should also take into consideration governing law and jurisdiction. EU courts are likely to continue to respect English law contracts. Arbitration is likely to be more popular. You should consider alternative dispute resolution.  You should think about termination rights. Does the EU constitute a force majeure that mean you can review pricing or service terms review? There might be opportunities for renegotiation.

Consumer contracts are heavily shaped by EU law. There may be a post-Brexit review, but if you want to do business with the EU you will need to continue to comply. The EU General Data Protection Regulation is automatically and equally enforceable in all member states to have a single EU law. It provides stronger rights for consumers and stricter obligations for companies. Penalties are harsh with 4% of turnover or 20 million euros. It has been four years in the making and comes into force in May 2018. Brexit is no excuse for not complying for the UK as they will still be in the EU when it comes into force. It also applies to anyone outside EU processing data to offer goods/services to EU citizens. There also needs to be adequacy of law required for data protection. The UK will likely fully adopt the GDPR regardless of Brexit. Act now before it is too late. May 2018 is not far away.

With employment law, free movement of people is a key political issue. There is no clarity on the post-Brexit position. Businesses are starting to audit and assess opportunities for claiming rights to work in the UK and EU. Companies might want to consider diversifying recruitment policy and must be aware of discrimination. Review your policies and make sure you remain compliant with existing UK law. She closed asking how can you survive the shifting sands of Brexit? Her answer is to take stock, be prepared and try to influence.

Andrew Tein from Wiley
Andrew Tein provided an updated on open science in the EU and called for engagement and leadership in this area. The open science policy agenda is driven by economic pressure, technology and innovation as well as the evolution of research practice. In terms of policy practice there is open access and copyright reform and protection. How do we engage and how do we lead the conversation with the rest of the community? How do we develop the rights tools and services? How do we deal with the SciHubs of the world?

There are some fundamental principles. Research stakeholders should advance sustainable open access and open science policies that ensure flexibility aligned with needs of discipline communities avoiding imposing unnecessary burdens on researchers. Brussels is a slow, steady and confusing place. In May 2013 Horizon 2020 (2014-2020) was launched with general principles on OA and Open Data. In May 2015 'A Digital Single Market Strategy for Europe' was released which acknowledged the importance of science and research to boost innovation. In May 2016 the Competitiveness Council Conclusions on the Transition Towards an Open Science System were published.

The OSPP process is design to advise the commission on policy development and implementation. It will serve as the primary mechanism for stakeholder engagement. It has five policy action areas: incentives for open science, removing legal barriers, making OA policies mainstream, develop research infrastructure for open science and particularly open data, and to embed open science in society as a socio-economic driver. They have broken this out into eight work streams:

  1. Fair open data
  2. European Open Science Cloud
  3. Altmetrics
  4. New business models for scholarly communication
  5. Rewards
  6. Research integrity
  7. Open science skills
  8. Citizen science

It is expected there will be three different mechanisms for consultation: digital consultation, working and steering groups and the Commission has clear goals they want everyone to work towards. As ever, there will be a number of opportunities and challenges around these areas.
